HERON Table Rock Includes ~50 Million Searchable De-Identified Physician Notes:

  • The biggest addition this release is de-identified free text physician notes! We have scrubbed the PHI from all of the physician notes (progress notes, ED notes, etc.) These are searchable in the HERON interface under Visit Notes
  • Data is now current through April 2018.
  • Thanks to user feedback, additional HCPCs and point of care lab tests are now available in HERON
  • Significant work is being done with two new projects:
    • GROUSE is a data warehouse with Medicare / Medicaid Claims data for Kansas and 8 surrounding statse.
    • SHRINE allows users to run feasibility counts across the Greater Plains Collaborative network. A network of 12 sites.

Tips & Tricks: Searching Free-Text Physician Notes

  1. Notes are found under Visit Notes
  2. When you pull a note type into your query, it will prompt you to enter a value. You can choose either "no value" or search "by value."
    • Typically you will use contains, but in the drop down you can choose exact, starts with, or ends with.
    • If you would like to search by text, enter the text name in the search box. Example, search patients who have diabetes written in the note.

Warning #1: When searching by names, it cannot distinguish between, "patient has diabetes" and "patient does not have diabetes." It will choose both notes because they contain the word diabetes. However, when you request the data, this will help filter out notes that don't have anything to do with diabetes.

Warning #2: If you are looking for diabetes, you should pull over the note multiple times and in the search text enter variations of how physicians would write diabetes (i.e. T1D, T2D, diabetes).

Research Scientist Spotlight: Noor Abu-el-rub joined our team in October, 2017 and has done remarkable work improving our de-identification software. Her work with this de-identification software has allowed us to de-identify ~50 million physician notes. These are all loaded into HERON and users may now create queries based off of information in the note text.
