HERON Smithville includes de-identified pathology notes:

  • 414,946 pathology notes have been de-identified and brought into HERON
    • We have de-identified pathology notes on 160,716 unique patients.
  • Pathology notes are found in the Navigate Terms hierarchy. Open the folder Visit Notes \ Visit Notes \ Result Notes
  • Drag Pathology(22) into your query
  • A pop up will appear to allow you to search by keyword
    • Note: If you want to search by multiple keywords, drag pathology over multiple times to the same group adding new keywords each time.

HERON Taneycomo Contains Data Through October 15, 2018.

As a reminder, we have thousands of de-identified physician notes. These are available to search under Visit Notes. In this release, we have added line breaks to the notes to help make them easier to read.

This release also contains more insurance payer information brought in from IDX. This is found under Visit Details \ Payer.

HERON Pomme de Terre Contains Data Through July 2018

HERON Pomme de Terre Contains Data Through July 2018:

  • Place of Service brought in from O2 is now included under the Visit Details
  • Data is now current through July 2018.
  • Our team is working on aligning our data and infrastructure to participate in the ACT network. ACT will allow users to query multiple sites to obtain feasibility counts.

Software Engineer Spotlight: Dan Connolly has been working with medical informatics since HERON was first developed in 2010. Dan has been instrumental in setting up the infrastructure for HERON and bringing in many data sources. Currently, Dan has been focusing on the GROUSE project to integrate medicare/medicaid claims data from 8 states along with clinical data from our 12 greater plains collaborative sites.

HERON Truman Now Includes Outpatient Insurance Information

HERON Truman Includes Outpatient Insurance Information:

  • The biggest addition this release is insurance information for outpatient visits
  • Data is now current through June 2018.
  • Our team successfully updated our PCORnet Common Data Model to v4.1 which included additional data points. This Common Data Model is used to answer nation-wide queries and to share queries across other institutions.

Tips & Tricks: Searching Insurance Information To search insurance information, navigate to the Visit Details folder and open Payer. You may pull over the entire payer folder or limit to specific payer types.

HERON Table Rock Includes ~50 Million Searchable De-Identified Physician Notes

HERON Table Rock Includes ~50 Million Searchable De-Identified Physician Notes:

  • The biggest addition this release is de-identified free text physician notes! We have scrubbed the PHI from all of the physician notes (progress notes, ED notes, etc.) These are searchable in the HERON interface under Visit Notes
  • Data is now current through April 2018.
  • Thanks to user feedback, additional HCPCs and point of care lab tests are now available in HERON
  • Significant work is being done with two new projects:
    • GROUSE is a data warehouse with Medicare / Medicaid Claims data for Kansas and 8 surrounding statse.
    • SHRINE allows users to run feasibility counts across the Greater Plains Collaborative network. A network of 12 sites.

Tips & Tricks: Searching Free-Text Physician Notes

  1. Notes are found under Visit Notes
  2. When you pull a note type into your query, it will prompt you to enter a value. You can choose either "no value" or search "by value."
    • Typically you will use contains, but in the drop down you can choose exact, starts with, or ends with.
    • If you would like to search by text, enter the text name in the search box. Example, search patients who have diabetes written in the note.

Warning #1: When searching by names, it cannot distinguish between, "patient has diabetes" and "patient does not have diabetes." It will choose both notes because they contain the word diabetes. However, when you request the data, this will help filter out notes that don't have anything to do with diabetes.

Warning #2: If you are looking for diabetes, you should pull over the note multiple times and in the search text enter variations of how physicians would write diabetes (i.e. T1D, T2D, diabetes).

Research Scientist Spotlight: Noor Abu-el-rub joined our team in October, 2017 and has done remarkable work improving our de-identification software. Her work with this de-identification software has allowed us to de-identify ~50 million physician notes. These are all loaded into HERON and users may now create queries based off of information in the note text.

HERON Calamus Includes HCPCS Codes

HERON Calamus improves data quality

  • Data is now current through January 2018. There was a lag in data as the health system upgraded EPIC. We will work diligently to keep HERON data as fresh as possible.
  • Healthcare Common Procedure Coding System (HCPC) codes were brought into HERON. You may search by codes and chose HCPCs to find the procedure you are interested in.
  • Data was once again aligned for the national PCORNet common data model and work continues to be done for the breast cancer rapid cycle research project.

Tips & Tricks: Did you know that all of your previous queries are saved in HERON?

  1. Look on the bottom left of HERON at "Previous Queries"
  2. Click on the query name
  3. While still clicking, drag the query into the query tool (middle of the screen) and drop it at the "query name"
  4. You should see all of your terms displayed in the groups below.
  5. You can re-run this query or add to it.

HERON Lizard improves data quality & aligns data nationally

HERON Lizard improves data quality & aligns data nationally

  • Data is now current through November 2017. There was a lag in data as the health system upgraded EPIC. We will work diligently to keep HERON data as fresh as possible.
  • Data was once again aligned for the national common data model with PCORnet
  • GROUSE is our latest data initiative which is now up and running. GROUSE contains 3 years of Medicare and Medicaid claims data for the 8 states involved in the Greater Plains Collaborative. We have approval to use this data for breast cancer, ALS, and obesity research.

Tips & Tricks: Did you know you can view basic demographics of patients in HERON?

  1. Click Run Query and choose Patient List.
  2. Once it finishes, click the dropdown next to analysis tools and choose Demographics (1 Patient Set).
  3. Under specify data, drag & drop the query on “Drop a small Patient Set here”
  4. Click view results

Systems Engineer Spotlight: Lav Patel joined the Medical Informatics team in December 2016. Since joining, he has played an integral role in supporting all of the software behind HERON. He has also worked to setup the GROUSE environment and is involved in setting up SHRINE. SHRINE will be available to users within the next few months and allows data to be queried across multiple sites in the Greater Plains Collaborative.

HERON Alice updates Procedures for multi-site targeted cancer therapy study

In support of the Greater Plains Collaborative (GPC) work on a targeted cancer therapy study, we have filled in gaps in the HERON Procedure folder by updating the CPT hierarchy.

This effort also helps us prepare for SHRINE which will allow users to query data across multiple sites in the GPC network. The HERON Procedures ontology is now in alignment with the Harvard-led SCILHS network.

HERON Babcock includes data from the Cystic Fibrosis registry

HERON Babcock release includes the addition of data from KUMC entered into the Cystic Fibrosis registry. You may query on terms recorded in the registry along with information from a patient's medical record.

Another enhancement is the update of folder names to be easier to navigate. University HealthSystem? Consortium has changed their name to Vizient. Inpatient quality data can now be found in the folder titled "Vizient (formerly UHC)".

HERON Wiese Slough shows progress toward incorporating de-identified free-text physician notes

HERON Wiese Slough includes a subset of de-identified free-text physician notes. These notes can be found in the folder "reports." For notes that are available in HERON, you can search to see if a patient has a specific note type in their chart or you can look for specific text within the note. For example, ED Notes are available and you can limit your search to find patients who have diabetes recorded in the ED note.

Heron Quaker Mill includes RX fill info and additional CPT codes

HERON Quaker Mill has an exciting enhancement to include prescription fill information from surescripts. You can now search to see if patients have filled their prescribed outpatient medication prescriptions. The folder "outpatient dispensed medications" includes the modifiers claim, fill, and unknown. Claim indicates when the prescription is sent to the insurance and fill indicates a patient has actually picked up their prescription from the pharmacy.

Previously, CPT codes from the IDX billing system were included in HERON. This release now includes CPT codes from the hospital's O2 billing system!
